Last updated: September 2026
Welcome to ROMR. These Terms & Conditions apply to bookings, participation in ROMR events and use of the ROMR website.
By booking or participating in a ROMR event, you agree to these Terms & Conditions.
1. About ROMR
ROMR organises outdoor adventure events involving activities such as running, walking, navigation, checkpoint finding and physical challenges.
ROMR events may take place on trails, bushland, parks, tracks and other outdoor environments where terrain and conditions can vary.
ROMR is operated by [insert legal business name / ABN].
2. Event bookings
Places at ROMR events are subject to availability.
A booking is only confirmed once the required payment has been successfully received and you receive a booking confirmation.
Participants are responsible for ensuring all information supplied at the time of booking is accurate.
Where an event requires participation in a team, participants are responsible for ensuring their teammate has also completed any required booking, registration and waiver.
3. Event fees
All prices are displayed in Australian dollars and include GST where applicable.
Payment is required at the time of booking unless otherwise stated.
Payment processing fees charged by third-party payment providers may apply.
4. Participant cancellations
If you can no longer attend an event, please contact ROMR as soon as possible.
Unless otherwise stated for a particular event:
cancellations made 7 days or more before the event may be transferred to another available ROMR event or issued as a ROMR credit;
cancellations made within 7 days of the event are generally non-refundable; and
you may transfer your place to another person before the event, provided ROMR is notified and the replacement participant completes any required registration and waiver.
No refund or credit will normally be provided for a failure to attend an event.
Nothing in this section limits any rights you may have under the Australian Consumer Law.
5. Event changes, weather and cancellation
ROMR events take place outdoors and may be affected by weather, track conditions, fire danger, land closures or other circumstances outside ROMR's reasonable control.
ROMR may change an event's route, location, start time, format or other details where reasonably necessary for safety or operational reasons.
If conditions make it unsafe or impractical to proceed, ROMR may postpone or cancel an event.
If ROMR cancels an event and does not provide the service booked, participants will be offered an appropriate remedy, which may include a refund, transfer or credit, subject to their rights under the Australian Consumer Law.
Participants should check their email and/or ROMR social channels before attending for any event updates.
6. Participant responsibilities
By participating in a ROMR event, you agree to:
follow reasonable instructions from ROMR staff and event officials;
attend any event briefing provided;
remain aware of your surroundings and other trail or park users;
respect private property, public land, wildlife and the environment;
carry any mandatory equipment communicated before the event;
stay within any areas or boundaries specified by ROMR;
behave respectfully toward other participants, volunteers and members of the public; and
notify ROMR if you withdraw from an event before completing it.
ROMR may refuse or terminate a person's participation where their behaviour poses a safety risk or significantly disrupts the event.
7. Fitness and suitability
ROMR events involve physical activity.
Each participant is responsible for deciding whether an event is appropriate for their own level of fitness, experience and ability.
If you have any uncertainty about your ability to safely participate, you should seek appropriate professional advice before taking part.
Participants under 18 may only participate where permitted for the relevant event and with any required consent from a parent or legal guardian.
8. Outdoor activity and assumption of risk
Participation in ROMR involves inherent risks associated with outdoor recreational activity.
These may include, without limitation:
uneven or slippery terrain, rocks, tree roots, branches, falls, collisions, weather conditions, heat, dehydration, insects, wildlife, navigation errors, becoming temporarily lost or disoriented, interactions with vehicles or members of the public, physical exertion and other hazards associated with outdoor environments.
By participating, you acknowledge that these risks cannot always be completely eliminated and that you participate voluntarily.
Queensland law recognises concepts including obvious and inherent risks associated with recreational activities.
Participants must also complete any separate ROMR Participant Waiver and Risk Acknowledgement required as part of registration.
9. Safety
ROMR will take reasonable steps to plan and deliver events safely.
However, participation remains an outdoor recreational activity and ROMR cannot guarantee that an event will be free from all risks or hazards.
Participants must use reasonable care for their own safety and the safety of others.
If you become injured, unwell or unable to safely continue, you should stop participating and notify ROMR or seek assistance as soon as reasonably possible.
10. Personal belongings
Participants are responsible for their own belongings and equipment.
To the extent permitted by law, ROMR is not responsible for loss, theft or damage to personal property brought to an event unless caused by ROMR in circumstances where liability cannot lawfully be excluded.
11. Photography and video
ROMR events may be photographed or filmed for promotional, editorial and social media purposes.
By participating, you acknowledge that you may appear incidentally in event photographs or footage.
If you do not wish to be photographed or filmed, please notify ROMR before the event and we will take reasonable steps to accommodate your request.
12. Event results and competition
Where ROMR publishes event times, rankings or results, participants are responsible for following the event rules and checkpoint requirements.
ROMR may adjust or remove a result where a participant has not completed the required course or has breached event rules.
Any prizes offered are subject to the conditions communicated for that particular event.
13. Website information
ROMR takes reasonable care to ensure information on its website and booking platforms is accurate.
Event details may nevertheless change from time to time, particularly due to weather, land access or safety considerations.
ROMR may update website content and these Terms & Conditions when reasonably required.
14. Intellectual property
The ROMR name, branding, logo, event concepts, graphics, photographs, course materials and other content supplied by ROMR remain the property of ROMR or their respective owners.
They may not be reproduced, distributed or used commercially without prior written permission.
15. Australian Consumer Law
Nothing in these Terms & Conditions excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.
Australian consumer guarantees for services include requirements that services be supplied with due care and skill and, where applicable, be fit for their stated purpose. These rights cannot simply be removed by a business's terms and conditions.
To the maximum extent permitted by law, any liability of ROMR will be limited only where the law permits that liability to be limited.
16. Recreational services
ROMR provides recreational services involving sporting and leisure activities and physical exertion.
Australian law contains specific provisions relating to the limitation of certain liabilities associated with recreational services. Those provisions do not allow liability to be excluded in every circumstance, including certain circumstances involving reckless conduct.
Any separate participant waiver or risk acknowledgement forms part of the agreement between ROMR and the participant.
17. Privacy
Personal information collected through the website, event registration or booking process will be handled in accordance with ROMR's Privacy Policy and applicable Australian privacy laws.
Participant information may also be processed by third-party services used by ROMR, such as booking and payment providers.
Marketing communications will only be sent where permitted, and recipients may unsubscribe at any time.
18. Governing law
These Terms & Conditions are governed by the laws of Queensland, Australia, and the parties submit to the jurisdiction of the courts of Queensland and any courts entitled to hear appeals from them.
